CONTRACTOR OFFICE AND CRM SUPPORT
Keep every job moving. Keep every detail accounted for.
Claimsters provides ongoing back-office support for roofing and general contractors. We keep the contractor's customer relationship system current and help move each file through production, supplementation and follow-up, with notes, documents and status recorded for the people responsible for the work.
THE OFFICE-TO-FIELD GAP
When the job moves, the records need to move with it.
A contractor can have crews in the field, estimators preparing scopes, project managers coordinating repairs and office staff communicating with customers. Each handoff creates information that someone must record, assign and revisit.
Claimsters supports the administrative workflow behind those handoffs. We keep the customer relationship system current and record each file's status, documents, notes, submissions, responses and next action as the work moves through production, supplementation and follow-up. For contractors without the staff to chase every file, this can operate as an outsourced claims department without the cost of a full-time hire.
Unclear file status
Staff cannot easily tell whether a job is waiting for documents, an estimate, a carrier response or a production action.
Missed next actions
Calls, responses and deadlines sit in separate inboxes or personal reminders without a shared next step.
Scattered records
Photos, estimates, notes and correspondence are difficult to connect to the correct customer and project.
Repeated explanations
When work changes hands, the next person may need to reconstruct what happened and what is still outstanding.
A CONTROLLED FILE WORKFLOW
One record. Clear stage. Assigned next action.
Claimsters tracks each file from the day it arrives, through production, supplementation and follow-up. Submissions, carrier responses and deadlines are recorded, and every open file receives a weekly follow-up with a status update to the contractor.
Intake
Capture customer, company, project details and the documents received.
Production
Keep the file's production stage, current status and project handoffs recorded.
Supplementation
Track estimate versions, supporting documents, submission dates and file notes.
Follow-up
Record carrier responses, deadlines and next actions, with weekly follow-up on every open file.
Closeout
Record the revised estimate and remaining project actions. Depreciation-release tracking is a separate Claims Management service.
WHAT THE SUPPORT CAN COVER
Practical back-office support for contractor operations.
Scope is confirmed around your current office process, CRM environment and the responsibilities you want to delegate.
CRM record maintenance
Keep customer and project records current using the contractor's agreed CRM fields, naming conventions and workflow stages.
Claim and project notes
Record relevant conversations, project updates, documents received, open questions and decisions that affect the next task.
File and document organization
Keep estimates, photographs, measurement reports, carrier correspondence and project documents connected to the correct file.
Production and supplement tracking
Keep each file moving through the contractor's production and supplementation stages, with status and relevant handoffs recorded.
Weekly follow-up and deadlines
Record submissions, responses and carrier deadlines. Every open file receives a weekly follow-up, with a status update to the contractor.
Contractor status updates
Keep project managers and office staff informed about what changed, what is outstanding and what action is next.
FIELD INFORMATION TO OFFICE ACTION
Turn updates into a usable project record.
Field notes and office records should describe the same job. When the crew sends new photos, a project manager reports a production change or a document arrives, the update needs to be recorded against the correct file so the contractor can see its current status and next action.
- Capture incoming field updates against the correct project.
- Record newly received photos, reports and estimate revisions.
- Update the file stage and outstanding task list.
- Make the next office or project handoff clear.
A COMPLETE FILE VIEW
What should be visible when someone opens a job?
The exact fields depend on the contractor's CRM and operating process. A practical file record usually makes these details easy to locate:
Customer and project identity
Customer or business record, property or job reference, project manager and relevant contact information.
Current stage and status
Where the job sits in the agreed pipeline and what has been completed so far.
Documents and communication
Estimate versions, photographs, reports, correspondence and dated activity notes.
Next action and due date
The next task, assigned owner, due date and current follow-up status.
Closeout and outstanding items
Record remaining project tasks and revised-estimate status. Payment and depreciation-release tracking are included when the separate Claims Management service is engaged.
CLAIMSTERS CASEWORK
A small record check can change what happens next.
Reconciling the payments against the carrier's estimate exposed a shortfall.
On a North Carolina State Farm file, the initial payment of $6,226.84 and supplement payment of $965.92 totalled $7,192.76. The carrier's estimate showed $7,546.72 in actual cash value. The $353.96 difference matched the material sales tax line. The payment-by-payment discrepancy was raised with the desk adjuster, and State Farm issued a separate $353.96 check on June 25, 2026.
Operational lesson: Reconcile each payment against the estimate and keep payment dates, amounts and receipt status in the file. The $1,479.01 check-log total on this example covers the supplement, depreciation and tax-correction entries, not the entire claim payment history.
Keep received and pending amounts separate.
On an Ohio Nationwide file, $10,365.38 was marked received. A further $12,027.56 in depreciation and paid-when-incurred amounts remained pending. The total logged across the file was $22,392.94, which shows why a record must distinguish money received from amounts still outstanding.
Record approved items, issued payments and open scope separately.
On a Maryland Erie file, $11,594.56 in solar detach-and-reset work for 27 panels and their hardware was supported before overhead and profit. A supplemental payment of $11,656.68 was logged on October 14, 2026 as still with the insurer at the time of the recorded update. Overhead and profit remained open.

Contractor office and CRM support questions.
Direct answers about scope, workflow, records and responsibilities.
What is contractor office and CRM support?
It is back-office support that helps a contractor keep customer and project records current, organize documents and notes, update file stages, track next actions and maintain visibility across the agreed workflow.
Does Claimsters provide a CRM software platform?
Claimsters keeps the contractor's customer relationship system current and tracks files through production, supplementation and follow-up. The service model does not specify a new proprietary CRM product. The system, access and exact tasks should be agreed before the engagement.
Can Claimsters work inside our existing contractor CRM?
The overview describes keeping the contractor's customer relationship system current and names AccuLynx as an example of a contractor platform Claimsters works in. Confirm the specific system, access permissions and responsibilities before onboarding. A custom integration or new CRM platform is not included unless separately agreed.
What information can be maintained in a project record?
Depending on the agreed workflow, records can include customer and job details, project stage, claim notes, estimates, photographs, measurement reports, correspondence, deadlines, next actions and status updates.
Does Claimsters provide weekly updates?
Yes. Every open file receives a follow-up each week, and the contractor receives a status update. Carrier response deadlines are also recorded and followed up as required.
How does Claimsters communicate about a claim file?
The contractor provides a company email address, and Claimsters works through that mailbox with the contractor's authorization. Messages are limited to the contractor's estimate, repair scope, supporting evidence, applicable code sections and manufacturer requirements. Claimsters does not use that communication to negotiate a settlement or discuss policy coverage.
Can office support include depreciation follow-up?
Tracking a file from estimate submission through supplementing and depreciation release is the separate Claims Management service. It is priced at $500 per claim. It should not be assumed to be included in ordinary CRM or office support.
Can Claimsters support a contractor with multiple states?
Claimsters works nationwide, with experience across Ohio, Tennessee, South Carolina, North Carolina, Georgia, Maryland, Texas, Pennsylvania, New Jersey and Nebraska. Each file should identify the correct property state and relevant local requirements.
Does CRM support include insurance settlement negotiation?
No. Claimsters supports the contractor's estimate and repair scope with documentation and administrative file tracking. It does not negotiate insurance settlements, interpret policy coverage or advocate for homeowners. Those matters remain with the homeowner's public adjuster or attorney where applicable.
What does contractor office and CRM support cost?
A standard standalone price for office and CRM support is not specified. The scope, workload, system access and reporting responsibilities should be reviewed and priced by agreement before work begins. Claims Management is separately listed at $500 per claim.
How do we start contractor office support?
Start by providing a company email address and discussing your current CRM, file stages, record fields, production and supplementation handoffs, update frequency and tasks you want to delegate. Claimsters will agree the access, responsibilities and service scope before work begins.
