CLAIMS MANAGEMENT FOR CONTRACTORS
Track Every Claim From Submission Through Depreciation Release.
Claimsters provides a separate claims management service for roofing and general contractors. We track each assigned file from estimate submission through supplementing and depreciation release, with weekly follow-up and status updates to the contractor.
CLAIMS FOLLOW-THROUGH
A revised estimate is an important milestone. It is not always the last step.
A contractor may have an estimate prepared, a supplement submitted and a revised estimate issued, yet the file can still need attention. Responses, deadlines, repair progress, recoverable depreciation and outstanding payment records all need to be followed through in the correct order.
Claimsters' claims management service follows the file from estimate submission through supplementing and the release of depreciation. The service includes a weekly follow-up and a status update to the contractor, with the file record maintained as it moves through the workflow.
Claims management is a separate $500-per-claim service, not an automatic part of estimate preparation or supplement writing. The contractor authorizes Claimsters to work within its business and provides a company email address. Claimsters sends file correspondence through that mailbox, writing as the contractor on the documented estimate and repair scope. This does not include settlement negotiation or homeowner advocacy.

A consistent record from the first submission to the final follow-up.
Claims management keeps the operational details of an open file organized. The exact actions depend on the file stage, carrier response and agreed service scope.
Submission history
Record estimates, supplement submissions, supporting documents and the dates they were sent.
Weekly follow-up
Follow up on open files every week and provide the contractor with a status update.
Carrier response tracking
Log incoming responses, questions, revised estimates and items that still require documentation.
Deadline monitoring
Record response dates and carrier deadlines so required follow-up is visible to the team.
ACV-to-RCV tracking
Track the file as repairs progress from actual cash value toward replacement cost value.
Depreciation-release follow-through
Monitor the depreciation-release step and coordinate the request at the appropriate point in the repair process.
Contractor communication record
Work through the contractor's authorized company email and maintain a clear record of estimate submissions, supporting documents and file correspondence.
Claims management does not guarantee that a carrier will issue a payment or release depreciation. The carrier's requirements, the policy terms and the repair documentation determine the outcome.
A useful file record makes the next action and current status clear.
FILE VISIBILITY
A contractor should not have to reconstruct a claim from old emails.
When multiple claims are active, project details and carrier correspondence can become difficult to manage across inboxes, spreadsheets and individual employee notes. A consistent record makes it easier to see where each file stands and what needs attention next.
Current file stage
Identify whether the estimate is being prepared, submitted, reviewed, supplemented or awaiting depreciation release.
Last meaningful activity
Keep a dated record of the latest submission, carrier response, contractor update or follow-up.
Next action
Make the next required response, document request or follow-up visible to the people managing the file.
HOW CLAIMS MANAGEMENT WORKS
A repeatable file-management workflow.
Each claim is tracked according to its current stage and the work still required.
Authorize and open the file
Receive the contractor's company email address and authorization, carrier estimate or denial letter, available photographs and measurement report.
Record the submission
Log the estimate, supporting documents, submission date and next action. File correspondence is sent through the contractor's authorized company mailbox.
Follow up weekly
Check open files each week and send the contractor a status update.
Track the response
Record carrier questions, written responses, revised estimates, deadlines and any supporting evidence still needed.
Track repair progress
Monitor the move from actual cash value toward replacement cost value as the repair is completed.
Follow through on depreciation
Track the depreciation-release request and its status through the agreed close point. The carrier determines whether its requirements are met and funds are released.
ACV, RCV AND DEPRECIATION
Keep the recoverable depreciation step from disappearing into the file.
Some claim payments are issued in stages. The file may include an initial payment, a revised estimate, recoverable depreciation and other payments tied to completed work or carrier requirements. Claims management tracks the progression so the contractor can see which amounts have been received and which steps remain open.
The service overview defines claims management as follow-through from estimate submission, through supplementing, to depreciation release. The separate service includes a weekly follow-up and a status update to the contractor.

These Claimsters client files show why every payment, depreciation amount, carrier update and next action needs a clear status in the claim record.
Explore all Claimsters case studies →DEPRECIATION TRACKING · MARYLAND · HOMESITE
Separating a received initial payment from pending depreciation.
On a Maryland Homesite file, the carrier moved from a limited shingle repair to full roof replacement after the contractor's repair test on the carrier-approved shingles failed. The payment record separated the initial payment received from depreciation still pending. Additional estimate items remained open for review.
$12,980.00 total logged. The pending depreciation was not recorded as received, and remaining supplement items were still under review.
MULTI-PAYMENT FILE · MARYLAND · ENCOMPASS
Tracking received payments while depreciation remained outstanding.
On an Encompass dwelling roof replacement file in Laurel, Maryland, the supplement moved the scope to full replacement. Claimsters tracked the initial and supplemental payments separately from depreciation still pending, while additional code and scope items remained under review.
The combined logged amount was $13,381.55. The pending depreciation was tracked separately and was not counted as received.
PAYMENT TRACKING · NORTH CAROLINA · STATE FARM
Keeping seven received payment entries together in one file record.
On a State Farm roof replacement file in North Carolina, Claimsters recorded four supplemental checks and three depreciation checks. The entries were tracked by date, payment type and receipt status, giving the contractor a clear payment history after the carrier moved from a repair estimate to full roof replacement.
All seven carrier payment entries were recorded as received, totalling $15,290.10. This is the logged carrier-payment total, not the full replacement-cost estimate.
SEPARATE SERVICE FEE
One flat fee for claims management follow-through.
Claims management is separate from the estimate and supplement pricing options. It follows the file from estimate submission, through supplementing, to depreciation release, with a weekly follow-up and status update to the contractor.
Confirm the service scope and fee before the file starts. Carrier approval, payment and depreciation release are not guaranteed.
Discuss a managed file →FOR ROOFING AND GENERAL CONTRACTORS
Keep your project team focused while open files stay visible.
When the same team is selling work, managing crews, coordinating repairs and handling customer updates, claim follow-up can compete with production time. A separate claims management process gives open files a defined weekly rhythm.
Fewer forgotten follow-ups
Weekly follow-up and recorded next actions help keep open files from going quiet.
Clear contractor status updates
Receive status updates on open submissions, carrier responses, deadlines and depreciation steps.
One view of file progression
Keep submission history, response details and payment milestones connected to each file.
Separate from estimating fees
Claims management has its own flat fee and is separate from estimate preparation and percentage-based supplement services.
