Contractor estimating tool

See the difference between the approved scope and the documented repair work.

Use the Claimsters Scope Gap Calculator to model an illustrative roof or siding scope, compare it with the amount approved in the carrier estimate, and prepare the information needed for a contractor file review.

Scope gap calculator

Build an illustrative scope value.

Select the file stage, property state and work type. Enter measurements from your report and the carrier-approved amount where required. The calculator will show the estimated scope value and any remaining difference.

Step 1 of 2
1. What stage is the file in?
Use the roof measurement report.
For work not covered by the per-square or per-foot planning rates.

Use separate bid pricing for metal, tile or slate roofing, other siding materials, and subcontractor specialty work that does not fit the listed rates.

Illustrative remaining request $0.00

Planning result
Roof scope value$0.00
Siding scope value$0.00
Bid value after 43% markup$0.00

This result is an illustrative planning figure, not an Xactimate estimate, coverage decision, carrier commitment, or prediction of payment.

What to prepare for this file stage

  • Carrier denial letter and available inspection photographs.
  • Photographs labelled by roof slope or building elevation.
  • Third-party measurement report.

The final document list depends on the denial and the evidence available.

Actual estimating requires line-by-line review of the carrier estimate, the applicable regional price list and its date, project photographs, measurements, local code sections and editions or manufacturer installation instructions when relevant. Claimsters works with contractors and does not interpret policy coverage, negotiate settlements or guarantee carrier approval.

Monthly contractor workflow

Model the request value in your monthly pipeline.

Enter the number of files you handle at each stage and the average request amount. The view totals the request pipeline and shows the amount represented by a share you select.

What happens next

A clear estimating and documentation workflow.

The calculator is a starting point. Each project is reviewed against its actual records before Claimsters prepares an estimate or supplement.

01 / REVIEW

Review the carrier estimate

Compare the carrier's scope with the documented damage, measurements and repair requirements.

02 / BUILD

Prepare the estimate

Build relevant line items and quantities in Xactimate or the required estimating platform.

03 / DOCUMENT

Support applicable items

Organize photographs, measurements, code references and manufacturer instructions where relevant.

04 / FOLLOW UP

Track the file

Submit the documented scope, record responses and follow up weekly while the file remains open.

Claimsters service pricing

Choose the support that matches the file.

The calculator's planning figure is not used as the final fee calculation. Percentage fees are based on the increase the carrier actually approves on Claimsters' work.

Estimate, submission and approval follow-through

7.5% + $150

Includes estimate preparation, submission, supporting documentation, written responses and follow-up until the carrier issues a revised estimate.

Estimate only

$200

A complete Xactimate estimate delivered to the contractor to submit.

Denial, partial denial and below-deductible files

4% of approved increase

Evidence gathering, estimate preparation, submission, supported reinspection requests and follow-through through approval.

Claims Management

$500 per claim

A separate service covering file follow-up from estimate submission and supplementing through depreciation release, with weekly updates to the contractor.

The approved increase is the difference between the carrier's original estimate and the amount approved after Claimsters' work. Previously approved amounts are excluded. The deductible and non-recoverable depreciation are not deducted before the percentage is calculated. No percentage fee is owed when no increase is approved. Confirm the service scope and terms before work begins.

Calculator questions

Frequently asked questions.

Understand what the tool calculates, which figures it uses and what happens after you submit a project.

What does the Scope Gap Calculator calculate?

It creates an illustrative repair-scope value using Claimsters' planning rates for roofing, vinyl or aluminum siding, separately quoted bid work and optional overhead and profit. For partial denials and supplemental files, it compares that value with the carrier-approved amount entered and displays the remaining difference, not less than zero.

Which roofing rates does the calculator use?

The planning rate is $800 per roofing square in New Jersey and Pennsylvania, and $650 per roofing square in every other state.

Which siding rates does the calculator use?

The planning rate is $25 per linear foot for aluminum siding and $14.90 per linear foot for vinyl siding.

How are specialty bid items calculated?

Items that do not fit the per-square or per-foot planning rates are entered as a separate bid. The calculator applies a 43% markup to that bid before adding overhead and profit, if selected.

How does the calculator apply overhead and profit?

When selected, it adds 10% overhead and 10% profit to the entire scope after the bid markup. The combined addition is 20% of that subtotal.

Does the calculator use the carrier's Xactimate price list?

No. It uses fixed planning rates to provide an illustrative comparison. A project estimate is prepared using the same applicable regional price list used by the carrier, with the relevant date and line items checked.

Does the remaining request represent money the carrier will approve?

No. The result is a planning calculation only. It is not a coverage decision, a promise of approval or a prediction of payment. Actual review depends on the file, supporting documentation and the carrier's estimate review.

What happens when I send the calculator summary?

The calculator summary is placed in the Claimsters inquiry form so the contractor can provide contact details and a short project description. Claimsters can then review the request and confirm the appropriate service and next steps. Do not include policy numbers, payment details or other sensitive personal information in the general inquiry form.
