ROOFING SUPPLEMENT WRITING
Roofing Supplement Writing That Supports the Full Repair Scope
Claimsters works as the contractor's authorized estimating and supplement team. We review the carrier's estimate, rebuild the documented roofing scope in Xactimate, support applicable line items with evidence and follow the file through the carrier's revised estimate.
THE REPAIR SCOPE MATTERS
An estimate should reflect the work required to complete the repair.
A carrier estimate is the starting point for documenting an insurance-funded roofing repair. It may include some work while leaving out relevant quantities, components, installation requirements or other items needed for the documented repair scope.
Contractors need an estimate that can be compared against roof measurements, project photographs and applicable installation requirements. Without that comparison, differences between the estimated scope and the work required may remain undocumented.
Claimsters works as the contractor's estimating and supplement documentation team. We review the existing estimate, rebuild the relevant scope in Xactimate and support each applicable addition with evidence.
Explore Xactimate estimating →WHAT WE REVIEW
Roofing estimate items that may need additional documentation.
Every roofing file is different. Claimsters compares the carrier's estimate with the available project information before identifying items that may need further support.
Roofing components
Drip edge, starter materials and ice barrier when supported by applicable requirements and the documented project scope.
Measurement differences
Differences between carrier quantities and third-party measurement reports, including roof squares and relevant dimensions.
Concealed damage
Additional damage identified during tear-off, supported by dated photographs and same-day moisture readings where applicable.
Detach and reset items
Components that need to be removed and reinstalled as part of the documented roofing repair.
Labor and equipment
Applicable labor minimums and debris container requirements supported by the work performed and project documentation.
Roof complexity and trade coordination
Applicable steep and high roof charges, and overhead and profit when a general contractor coordinates the trades.
These are examples identified in the Claimsters service model. Inclusion in an estimate depends on the actual project, applicable requirements and available supporting evidence.
THE SERVICE
Roofing supplement documentation built around the evidence.
A supplement needs more than an additional estimate amount. Relevant line items should be connected to the photographs, measurements, applicable building-code information or manufacturer instructions that support the repair scope.
Talk to Claimsters →Carrier estimate review
Compare the existing estimate with the damage, photographs, measurements and documented repair requirements.
Xactimate estimate rebuild
Rebuild the relevant estimate line by line, using the applicable regional carrier price list and confirming its date.
Supplement preparation
Prepare the additional scope and connect applicable line items to photographs, measurements, code sections or manufacturer documentation.
Submission and written responses
Submit the documented supplement and respond to questions about estimate items with the corresponding supporting evidence.
File tracking and weekly follow-up
Record submissions, responses and deadlines. Open files receive weekly follow-up and contractor status updates.
Revised estimate delivery
Deliver the carrier's revised estimate to the contractor when it is issued.
DOCUMENTATION STANDARDS
Every supported line should have a reason behind it.
Claimsters builds roofing supplements around the information needed to review the documented repair scope.
Rather than relying on unsupported estimate additions, the team connects relevant work items to project documentation, measurements, building-code information and manufacturer instructions.
Start with the Scope Gap Calculator →Photographic evidence
Photographs labelled to the line items they support, including slope-by-slope documentation where relevant.
Third-party measurements
Measurement reports used to compare quantities and identify differences in roof dimensions.
Building-code information
Local code lookup reports showing the applicable code edition and amendments for the project.
Manufacturer instructions
Installation requirements relevant to the materials and work documented in the estimate.
Weather verification
Weather information for the date of loss, where relevant to the file.
Concealed-damage records
Dated photographs and same-day moisture readings where additional concealed damage is found during tear-off.
ROOFING PROJECTS
Estimating support across different roofing projects.
Claimsters' service model includes residential and commercial roofing scopes. Each file is reviewed according to its specific system, repair requirements and supporting information.
Roof replacement and repair scopes
Documentation for residential roofing work, including relevant quantities and roof components.
Existing roof conditions
Compare the estimate with available photographs, measurements and documented roof conditions.
Additional work identified during repair
Document relevant concealed damage and repair conditions discovered during tear-off.
Estimate support for contractor projects
Organize project information around the work required and the estimate items being reviewed.

LOSS AND DAMAGE TYPES
Roofing estimates for different loss circumstances.
Claimsters' estimating and documentation process can support different repair scopes, depending on the loss, available evidence and work required.
Storm-related losses
Hail, wind, tornadoes, hurricanes, tropical storms, lightning and fallen trees or limbs.
Snow and ice
Snow-load damage, ice dams, related water damage and freeze damage.
Fire and smoke
Roofing and structural repair scopes following fire, smoke and soot damage.
Water and mitigation
Roof leaks, water damage, emergency mitigation and related repair documentation.
HOW IT WORKS
How Claimsters handles a roofing supplement file.
The process starts with the existing estimate or denial, then moves through documentation, submission, written responses and follow-up.
Receive the file
The contractor authorizes Claimsters to work within its business and provides a company email address, the carrier estimate or denial letter, available photographs and the measurement report.
Review and compare
The existing estimate is reviewed against the damage, roof measurements and documented repair requirements.
Rebuild the estimate
The relevant scope is rebuilt in Xactimate, with the applicable regional price list and line-item quantities.
Prepare the supplement
Relevant estimate items are connected to photographs, measurements, code sections or manufacturer requirements.
Submit and respond
The supplement is submitted. Questions about documented items are addressed with the corresponding evidence.
Track the file
File correspondence is sent through the contractor's authorized company mailbox. Submissions, deadlines and responses are recorded, with weekly follow-up and contractor status updates.
Deliver the revised estimate
When the carrier issues its revised estimate, Claimsters delivers it to the contractor.
Project photographs and measurements help document the repair scope.
WHEN A REINSPECTION IS SUPPORTED
Prepare the file and the crew for a reinspection.
When disputed items have supporting evidence, a reinspection may be requested. Claimsters prepares the contractor's crew with relevant photographs, measurements and code items to show during the visit.
If an engineering report does not match the documented physical damage, Claimsters can respond with the available supporting evidence.

Understand the service fees before work begins.
The Claimsters service overview defines different fee options depending on the work required and the stage of the file.

DENIAL SUPPORT
Denied, partial-denial and below-deductible files
Of the increase approved by the carrier.
- Evidence gathering
- Estimate preparation
- Code and manufacturer support
- Reinspection requests where supported
- Follow-up through approval
The approved increase is the difference between the carrier's original estimate and the amount the carrier approves after Claimsters' work. The applicable 7.5% or 4% fee is calculated on that full increase. The deductible and non-recoverable depreciation are not deducted before the percentage is applied. Amounts approved before Claimsters begins are excluded. If the carrier approves no increase, no percentage fee is owed.
Example: if the carrier's original estimate is $12,500 and the carrier later approves $20,000 after the supplement, the increase is $7,500. The 7.5% fee is $562.50, in addition to the $150 estimate fee. Claims management is separate at $500 per claim. It covers file follow-up from estimate submission through supplementation and depreciation release, with weekly follow-up and contractor status updates. See Claims Management for that service.
Work that does not fit a per-square or standard unit rate, such as metal, tile or slate roofing and specialty subcontractor work, is priced as a separate bid. The bid receives a 43% markup before any applicable overhead and profit. Where 10% overhead and 10% profit apply, those amounts are added after the markup. The exact scope and fee arrangement are confirmed before work begins.

Roofing supplement writing questions.
Understand the process, documentation and service boundaries before starting a file.
What is roofing supplement writing?
Roofing supplement writing involves reviewing an existing carrier estimate, identifying relevant repair items or quantities that need additional documentation, preparing a supported estimate and submitting it for review.
What does Claimsters include in a roofing supplement?
The work can include an Xactimate estimate, photographs, third-party measurement reports, applicable building-code information, manufacturer instructions and written supporting documentation.
Which roofing systems does Claimsters support?
The Claimsters service model includes shingle, flat and metal roofing, as well as commercial roofing scopes. Specialty work such as tile or slate roofing may be priced as a separate bid rather than through a standard per-square rate.
Does Claimsters use the carrier's regional price list?
The Claimsters service model specifies that the rebuilt estimate uses the same regional price list as the carrier's estimate, with the applicable price list and date confirmed.
What happens when the carrier questions an estimate item?
Claimsters responds in writing with the relevant photograph, measurement, building-code section or manufacturer requirement supporting the documented item.
Does Claimsters request reinspections?
A reinspection is requested when the available evidence supports one. Claimsters prepares the contractor's crew with relevant photographs, measurements and code items for the visit.
Does Claimsters negotiate insurance settlements?
No. Claimsters' stated role is to prepare, submit and support the contractor's repair estimate and supplement documentation. Settlement negotiation, homeowner advocacy and policy coverage interpretation are outside the described service scope.
Does submitting a roofing supplement guarantee approval?
No. A supplement presents a documented repair scope for the carrier's review. The carrier makes its own decision. Claimsters does not guarantee approval or a specific payment amount.
How does Claimsters communicate with the carrier?
After checking the requirements that apply to the assignment, Claimsters works under the contractor's company through its company email address and writes as the contractor with its authorization. Messages are limited to the contractor's estimate, repair scope, supplement, supporting evidence and related written responses. Claimsters does not use this process to negotiate a settlement or advocate for the homeowner.
What should a contractor provide to start?
Initial materials include authorization to work within the contractor's business, a company email address, the carrier estimate or denial letter, available photographs and a third-party measurement report. Carrier inspection photographs should also be provided when available.
